Since the inception of the “Subscription Economy” era, companies have transformed the way that they supply goods and services to consumers. From music to software to physical goods, buyers now are increasingly comfortable with paying on an ongoing basis for access: over half of all software sales, and some [40% of streaming media,](https://market.us/report/digital-media-subscription-market/) is now sold using a [subscription](https://blog.basistheory.com/subscription-payment-processing) model.

Conservative estimates put the value of the subscription economy at over [$700 billion](https://www.juniperresearch.com/press/subscription-economy-to-reach-1tn-by-2030/) annually and growing, which is why subscription providers must be sure they offer a smooth and easy process to sign up customers, and a robust rebilling system to ensure they recognize the maximum revenue possible. To reach that potential, subscription merchants are finding that a payment [vault](https://blog.basistheory.com/token-vault) system is a necessity.

A music provider like Spotify, for instance, allows its users access to millions of pieces of music for as long as they pay their monthly or annual subscription; once the customer stops paying, access is revoked. Where once consumers had to choose from a limited selection of music, as they would have to buy a record or CD that they owned forever, now they have near-unlimited choice in return for a commitment to continue paying a regular fee.

## What is a payment vault system?

A payment vault system, or [programmable payments vault,](https://blog.basistheory.com/programmable-payment-vault) is a third-party system that collects and stores customer payment information on behalf of a merchant. The vault provides a [non-sensitive token](https://blog.basistheory.com/tokenization-vs-encryption) to the merchant, and provides interfaces that enable the merchant to submit customer payment details to any downstream provider to complete payments. By using a vault, the merchant ensures they never have the customer cardholder details in their own systems, reducing their Payment Card Industry Data Security Standard (PCI DSS) overhead, and retains ownership of the customer details so that they can select the processor they prefer for each transaction.

## Why is recurring billing hard for subscription merchants?

Subscription businesses rely on the ability to [charge](https://blog.basistheory.com/subscription-payments-uk-eu) a customer over time. The customer expects to enter their details once, then allow the merchant to claim their payment according to the agreed-upon schedule. While this seems simple enough, there are a number of operational challenges for the [merchant to prevent involuntary churn](https://blog.basistheory.com/involuntary-churn):

- Cardholder Data Storage: Bringing cardholder data into core systems creates a high burden of PCI DSS compliance for the merchant. When you store cardholder data, you must ensure digital security is robust to avoid hacks and data leaks. Written processes and audit logs are required for how and when employees access the information.
- Processing Costs: Merchants who are just launching will often choose to offset the PCI DSS requirements by using a single, [full-service PSP](https://blog.basistheory.com/full-service-psp), which stores the cardholder data. In this situation, the merchant can have the PSP run periodic subscription payments, but the data is tied to the individual provider, as it holds and owns the cardholder data. In order to [arbitrage](https://blog.basistheory.com/improve-payments-efficiency) processing fees by adding an alternative processor, the merchant would need the customer to re-enter their details to be held by the second provider.
- Business Continuity: More than one PSP ensures they can deliver each transaction to the lowest-priced processor.
- Outage Protection: Multiple PSPs provide backup plans for situations in which the primary PSP goes offline.
- Transaction Success Rates: A single PSP may have variable transaction success rates, based on factors including [geography](https://blog.basistheory.com/managing-payments-during-geographic-expansion) and the relative level of [risk](https://blog.basistheory.com/high-risk-payment-processor) associated with the item being paid for.

## How does a payment vault system reduce involuntary churn for a subscription merchant?

A payment vault system reduces involuntary churn by keeping cardholder data independent of any single PSP. When the vault holds the data instead of the processor, a failed renewal doesn’t have to mean a lost subscriber.

With a payment vault the merchant controls, it is their team that choose when to update the card, retry the charge through another processor or route around an outage, all without asking the customer to re-enter their details.

- Keep Cards Current: Account updater and network tokens [can run at the vault level](https://blog.basistheory.com/enrichments-native-to-vault), so expired or reissued cards are refreshed before the next billing date. Because the vault is the single source of truth, those updates apply to every processor the merchant uses.
- Retry Declined Payments: When one PSP declines a renewal, the merchant can retry the same card through a second processor instead of letting the subscription lapse.
- Fail Over During Outages: If the primary PSP goes offline, scheduled renewals can route to a backup provider so billing continues on time.
- Route for Approval: Merchants can send each transaction to the processor most likely to approve it, based on card type, geography or their own routing logic.
- Migrate Without Re-Entry: Existing cards on file can be moved from a current processor into the vault, so adding a new PSP doesn’t require subscribers to enter their payment details again.

## How does a payment vault system make a merchant more resilient?

For a merchant to have confidence in their ability to collect subscription payments with reliability, low cost, and security, they should use [at least two PSPs](https://blog.basistheory.com/using-multi-processor-payment-strategy).

In order for them to have flexibility to select the PSP that will process each deal, based on their own [decisioning engine](https://blog.basistheory.com/can-chatgpt-route-payments), the merchant must ensure that the cardholder data is not retained by a single processor. To achieve this, the merchant has two choices: retain the cardholder data locally in their own system, or use a third-party payment vault. Given the high resources, time, and cost associated with managing PCI DSS compliance if the data is held locally, a third-party vault represents [a natural choice](https://blog.basistheory.com/reduce-pci-scope).

A payment vault system allows the merchant to limit the PCI scope of their own internal processes, gives them secure access to stored customer data, and opens up the opportunity to build a flexible stable of downstream processing partners so that they can take advantage of the best fee structure for each transaction. The best systems offer not only the systems and capabilities needed to process deals quickly and effectively, but also [documentation](https://blog.basistheory.com/create-documentation-that-anyone-can-use) systems that lend themselves easily to AI-aided coding, reducing the additional cost and effort of integration.
